Information you provide

The demo-request form collects your name, email address, company and message. You may also provide your website address and industry. We keep a request reference, submission time and request status with the information you send.

We use this information to understand your enquiry, respond to you and discuss whether GainRail is a fit for your business. Submitting the form does not subscribe you to a marketing newsletter or create a client agreement.

The required fields help us understand and respond to the request. If you prefer not to use the form, you can email us instead. Please do not send patient information, confidential case details, passwords or other sensitive information through a general enquiry.

Technical information and website tracking

Our hosting services process technical information needed to deliver and protect the website, such as network addresses and request details. To limit repeated form submissions, we keep a short-lived identifier derived from a network address, a time window and a request count. The form record does not include the raw network address.

Operational logs record request references, status and error information. The application is designed not to write submitted messages or contact details into those logs.

This website does not currently use advertising trackers or optional analytics cookies. Fonts are served with the website. We will update this notice if the tracking approach changes.

Storage and service providers

Accepted form requests are stored using Amazon Web Services in the United States, in the Northern Virginia region. The website also uses a global content-delivery service. Information may therefore be processed outside your country.

Where email notifications are enabled, a copy of the enquiry is sent through Amazon Simple Email Service to GainRail’s enquiry inbox. Our email service processes that correspondence so we can respond. Hosting and email providers handle information as needed to provide those services.

We use your enquiry for the conversation you requested. We do not use the form to enrol you in unrelated marketing communications.

How long information is kept

The form database is configured to mark enquiry records for automatic deletion after 180 days. Automatic deletion can take a few additional days. Recovery backups can retain a deleted record for up to a further seven days.

The short-lived abuse-prevention records are marked for deletion after 24 hours, and operational application logs have a 30-day retention period. Automatic deletion may take additional time to complete.

Email correspondence is separate from the form database and is not removed by that automatic deletion. It may be retained for follow-up, an ongoing business relationship or applicable recordkeeping obligations. Contact us if you would like us to review or delete information associated with your enquiry.

Access, correction and questions

You can ask us to access, correct or delete information you have provided by emailing hello@gainrail.com. Include enough detail for us to identify the enquiry, without sending unnecessary sensitive information.

We may need to verify that the request relates to you. If we cannot fulfil a request, we will explain why. You can use the same address to raise a privacy concern or complaint so we can investigate and respond.

Changes to this notice

We will update this page when the website’s information practices change. The date above identifies the current version. A separate agreement may address information handled during a client engagement.
